The Keyword vs. Answer Problem

SharePoint's search is fundamentally a keyword-matching system. It's designed to find documents that contain the words you typed. If you search for "vacation policy," it will return a list of files titled "vacation policy" or containing those words. This is useful if you know exactly which document you need. It's less useful when your question is "how many vacation days do I get after three years?"

This forces your team into a two-step process:

  1. Search: Guess the right keywords to find a list of possible documents.

  2. Read: Open each document and manually scan for the specific piece of information.

This workflow is the core of the problem. It treats all information as if it's stored in discrete, easily-named files. But real work involves context spread across Excel sheets, long PDF manuals, presentation slides, and even video recordings.

Building for Precision, Not Just Discovery

To solve this, we didn't try to improve keyword matching. We built a system that reads the content inside the files and understands the user's intent. We chose this approach because finding a file is not the goal; getting a specific piece of data is.

The logic is built on a private Azure instance, which allows for a more sophisticated process than what's available in standard SharePoint. Instead of just indexing file names and metadata, the system performs several actions:

  • Content Ingestion: It processes the full text of documents, including tables in Excel, text in PDFs, and notes in PowerPoint slides.

  • Video Transcription: For video files, it generates a full transcript with timestamps. Standard SharePoint search might find a video file by its title, but it can't look inside the video itself.

  • Contextual Understanding: When a user asks a question, the system isn't just matching words. It's looking for the most relevant passage or data point across the entire indexed knowledge base.

This allows for fundamentally different types of queries. You can ask, "What was the part number for the XYZ component in the Q3 project review?" and get an answer from a technical drawing's notes, rather than just a link to the drawing file itself.

The Outcome: Direct Answers, Not Document Lists

The system is now live. For teams we've worked with, like IMA Engineering in Finland, it handles complex queries across thousands of documents. The team no longer has to deal with opening multiple files to find a single data point.

Here are the practical differences:

  • Excel Files: Instead of finding the inventory spreadsheet, it returns the specific price for a part number.

  • Policy PDFs: Instead of linking to the 50-page employee handbook, it provides the exact sentence about vacation rules.

  • Technical Drawings: It can find a specific part number or specification note within a drawing file.

  • Internal Videos: It answers a question by linking to the exact second in a 22-minute video where the topic was discussed.

This isn't about replacing SharePoint. It's about adding a layer of intelligence that respects the user's time. The goal is to reduce the clicks and cognitive load required to get from a question to an answer.

The core issue with standard SharePoint search is that it's built to find *files*, forcing users to manually hunt for answers within them. A custom AI solution shifts the focus from document retrieval to direct answer extraction, saving significant time in knowledge-intensive environments.
