Instead of trying to improve the manuals, we focused on a different medium: video. We built a system that allows any team member to record a process, repair, or procedure using their phone. These videos are then uploaded to a secure internal environment.
We didn't use a generic video hosting solution. We built the logic to transcribe the audio from these videos and map the text to specific timestamps. This creates a searchable index of the spoken content. When a user asks a question like, "How do I calibrate this?" the system doesn't just return a video file. It provides a direct link to the exact moment in the video where that procedure is explained.
This approach makes institutional knowledge accessible. A 48-minute industrial manufacturing video or a two-minute phone recording of a specific fix both become valuable, searchable assets.
System Security and Ownership
For any organization dealing with proprietary processes, data security is a primary concern. To address this, the entire system is built on a private and secure Azure cloud environment. This ensures that all internal process videos and documents remain confidential. Unlike third-party platforms, the organization maintains full ownership and control over its data. The logic is designed for internal use, providing answers only to authorized team members.
