Teams in manufacturing often rely on dense, multi-page manuals for training and standard operating procedures. The problem is, very few people actually read them. When a machine needs a specific calibration or a new team member needs to learn a complex process, finding the right page in a document is slow and inefficient. This creates a significant training bottleneck, especially when experienced staff are not immediately available.

The Knowledge Capture Problem

The core issue isn't a lack of documentation, but its format. Written manuals struggle to capture the nuance of a physical process. More importantly, they aren't searchable in a practical way. A new hire can't ask a PDF, "What's the right pressure setting for this valve?" This problem is magnified when senior engineers with decades of hands-on experience retire, taking their unwritten knowledge with them.

Building a Search Layer for Video

Instead of trying to improve the manuals, we focused on a different medium: video. We built a system that allows any team member to record a process, repair, or procedure using their phone. These videos are then uploaded to a secure internal environment.

We didn't use a generic video hosting solution. We built the logic to transcribe the audio from these videos and map the text to specific timestamps. This creates a searchable index of the spoken content. When a user asks a question like, "How do I calibrate this?" the system doesn't just return a video file. It provides a direct link to the exact moment in the video where that procedure is explained.

This approach makes institutional knowledge accessible. A 48-minute industrial manufacturing video or a two-minute phone recording of a specific fix both become valuable, searchable assets.

System Security and Ownership

For any organization dealing with proprietary processes, data security is a primary concern. To address this, the entire system is built on a private and secure Azure cloud environment. This ensures that all internal process videos and documents remain confidential. Unlike third-party platforms, the organization maintains full ownership and control over its data. The logic is designed for internal use, providing answers only to authorized team members.

The Outcome

It allows manufacturing teams to bypass the creation of written manuals entirely. New staff can get instant, precise answers to their questions by searching the video library. The expertise of senior engineers is captured and preserved before they leave the company. The team no longer has to hunt through paper documents or interrupt senior staff for routine questions.
