Finding a specific file in SharePoint or OneDrive can feel like a lost cause. You know the document exists, but it’s buried in a folder structure created by someone who left the company three years ago. Standard search is often no help, returning hundreds of irrelevant results or missing the file entirely because it can't read the contents of a scan or a technical drawing. Building for Precision, Not Just Search

To solve this, we didn't try to 'fix' SharePoint's search. We built a separate, intelligent system that accesses the files directly. We focused on making all data-even non-searchable types-directly accessible. The system is hosted on an organization's private Azure cloud, which provides security and control over sensitive data.

The logic was designed to understand the content of the files, not just the file names. This required a system that could:

  • Read Everything: Process text from PDFs, messy Excel sheets, presentations, and even images or scanned technical drawings.

  • Understand Video: Index the spoken content of video meetings and recordings, making them searchable by timestamp.

  • Integrate with Workflows: Connect directly to tools like Outlook and Teams to answer questions and even help automate file uploads without leaving the application.

We chose this approach because keyword search is fundamentally limited. A team needs answers, not a list of 100 possible documents. By building the logic to extract and index the actual content, the system can provide a direct answer with a link to the source file, whether it's a specific slide in a PowerPoint or a 33-minute mark in a meeting recording.

How the System Works in Practice

The system is now live for teams that need to access large volumes of complex information. It handles technical drawings, financial reports, and hours of video recordings. Instead of spending time digging through folders, team members can ask a direct question and get an answer in seconds.

For example, a user can ask, "What were the Q3 revenue numbers?" and the system will pull the exact figures from an Excel file, providing a direct link to that document. Or, they can ask, "Find the part where the client discussed budget constraints in last week's call," and it will point to the exact timestamp in the video.

The system also automates the tedious process of uploading and organizing files. A user can forward an email with an attachment to the system, and it will automatically place the file in the correct SharePoint location based on its content.

This isn't about replacing SharePoint. It's about building a more effective way to work with the information you already have. By hosting it on a private Azure cloud, organizations maintain full control over their data, ensuring security and compliance without sacrificing speed or capability.
