
The process of sharing an internal file is often a hidden productivity drain. An employee needs to send a document to a colleague. They leave their email, open a new tab, navigate to SharePoint or a similar cloud drive, search through folders, find the file, get the sharing link, adjust permissions, and then paste it back into the original email. This sequence involves multiple clicks, context switches, and several minutes for what should be a simple task.

This inefficiency is a common problem in organizations that rely on cloud storage but haven't connected it to their direct communication workflows. We decided to address this by bringing the search function directly into the user's inbox.
Integrating Search into the Email Workflow
Instead of building another separate platform, we built an add-in for Microsoft Outlook that connects to a company's internal chatbot and knowledge base. We chose this approach because the goal is to reduce friction, and the highest point of friction is forcing a user to leave their current task.
The logic is straightforward: the add-in provides a side panel within the email composition window. From there, a team member can search the entire company knowledge base. The system retrieves the latest version of any document, presentation, or image in seconds. Once the correct file is found, a single click inserts it directly into the email body. There is no manual copying or pasting of links.
Security and Ownership
A critical component of this solution is security. The entire system is built on the organization's own Azure environment. This means all data remains within their private cloud, under their control. This is a fundamental requirement for handling sensitive internal documents and avoids the security complications of third-party services.
The system is now active. It handles real-time retrieval from the knowledge base, and the team no longer has to deal with the multi-step process of sharing cloud-based files. A task that previously took minutes and multiple windows is now completed in under five seconds without ever leaving Outlook.
